Event Coordinator


Position:    Event Coordinator

Hours:    Full Time – Non-Exempt

Travel:    5%

Summary

NCA’s Event Coordinator will serve on a team to deliver exceptional training opportunities for our members and the child nutrition community at large.


Key Responsibilities

Logistics & Administration

    Serve as virtual event co-host; handling customer service, event run-throughs, and other hosting duties

    Serve as virtual event host as needed.

    Maintain the event dashboard to track progress, ensuring tasks are completed on time.

    Support the scholarship process, including managing applications and coordinating selection.


Programming & Content Management

    Collaborate with the Operations team to transition webinar recordings and supplementary resources to the NCA Learning Center.

    Assess Learning Center webinars for content and develop promotional opportunities.

    Assist in gathering information and content for webinars, including organizing program details and updating forms with suggested speakers and topics.

    Assist in creating event descriptions, speaker bios, and other content to engage potential attendees and promote sessions effectively.


Attendee Experience

    Stay informed on best practices for webinar technology, attendee engagement, and virtual event strategies to enhance participant experiences.

    Engage with community in our NCA networking and social channels.


Speaker Management

    Maintain and update NCA’s presenter database with speaker details and session topics.

    Assist event team with speaker coordination and scheduling.

    Track and update speaker confirmations, registrations, deadlines as needed.

    Secure speakers in cooperation with events team.


Data Collection & Reporting

    Track and analyze event attendance, engagement metrics, and post-event feedback to evaluate performance and inform future planning.

    Review post-event reports, highlighting successes and areas for improvement.


Support for National In-Person Conference

    Act as a secondary host for hybrid sessions

    Assist with on-site planning and operational support for the in-person conference as needed.


Travel / Other

    Attend and staff national conference (mid-April)

    Attend annual team retreat (early November)

    Additional responsibilities and projects as determined


Required Qualifications

    Bachelor's degree in marketing, advertising, communications, event management or a related field of study; work experience can substitute for the degree

    Excellent presentation skills and confidence in speaking in public

    Strong writing, editing, and proofreading skills

    Ability to accomplish multiple simultaneous projects and work assignments with little supervision.

    Must meet physical requirements of position


Preferred Qualifications

    Event planning experience

    Administrative experience

    Experience with project management software

    Fluency in Spanish

    Working knowledge of Zoom webinars

Position & Location

This is a full-time, exempt position with a week of required travel in both mid-April and early fall (Oct/Nov), at minimum or as needed.

Employees of NCA work independently from home offices which provide a closed space for confidentiality, however, staff is required to live in TX and attend training and meetings in Round Rock, TX.

Staff members are required to have a dedicated home office, fast and reliable internet, and child care. NCA will provide staff a phone, computer, external monitor, webcam, and office supplies.
